Annual General Meeting 2019

1.   Notice of Annual General Meeting, Monday 14 October 2019, 7 p.m. in the Nelson Room, Nelson Bay Bowling Club.

All Committee positions will be declared vacant. Nomination forms and agenda for the AGM and the October General Meeting are attached at Enclosure 1 and 2, respectively, together with the 2018/19 Annual Financial report.

The current Committee has experienced significant pressure over the last year and it would be greatly appreciated if members could commit to serving on the Committee and nominating for specialist roles where they believe they have a capacity to contribute. Committee nomination forms should be returned to secretary@trra.com.au no later than 7 October 2019.

The Guest Speaker will be Andrew Smith, CEO, Worimi Land Council.

2.    Membership Renewals.

These fell due on 30 June. It is important that TRRA has a strong base of committed financial members, so you are urged to join or renew as soon as possible. 3.    National Parks and Wildlife Service. Tomaree Coastal Walk Proposal

 

TRRA has continued its involvement in the development of this strategy by NPWS and attended the second Reference Group meeting on 2 September. Overall, we are happy with the response at that meeting and workshop by the NPWS representatives to our and other stakeholders’ input.

However, NPWS did stress that while the input provided them a very useful working context for their planning, they must rely on the formal submissions made on the Strategy and Draft Plan of Management, due on 16 September. TRRA will be making a formal submission to this proposal stating, in essence, that while we support the overall aim of the project, we see the need to:

  • note in the strategy the need to improve interpretation of the cultural and heritage assets on the trail;
  • work closely in collaboration with the Friends of Tomaree Headland Inc. for a coordinated approach to planning and management of the future of the headland, with a strong preference for a common masterplan for the Headland as a whole, together with its approaches;
  • a more ambitious interpretive centre that possibly makes use of one or more of the heritage-listed buildings on the Tomaree Lodge

We look forward to further participation in the Reference Group in October when we expect to review the consolidation of the public submissions to NPWS.

A recent private sector proposal for a Skywire facility on Tomaree Headland has attracted significant local discussion. TRRA has suggested that this needs to be carefully assessed as part of any Masterplan. Your views on this proposal would be welcome by email to the Secretary (secretary@trra.com.au) and we can discuss it at the October General meeting.

4.    Request from Nelson Bay Bowling Club re Membership

The Bowling Club has generously provided TRRA Inc. with meeting room facilities at no cost over a period of 11 years. Their assistance in this way is very greatly appreciated by TRRA. Similar assistance is provided to other not- for-profit organisations.

The Bowling Club has pointed out that as part of the agreement with us on this arrangement our members should become social members of their club. They advise that recent indications are that the take up of membership from from all of the organisations is extremely low and that they will need to revisit their policy on these concessions in the near future.

They have requested that our members call the club reception to advise of their membership status. Instead the TRRA Committee would prefer that you advise us of your status so we have the relevant statistics which we can use to report to the club. We believe that many TRRA members are already NBBC members and that we make a reasonable contribution with pre-meeting meals and drinks on the way home.

Note:

The full Committee is involved in all issues that arise that are of concern to the Tomaree community that need to be addressed by the Association. Subject to specific issues, appropriate Committee members will form sub-committees with other members, or if necessary, external assistance, to investigate, examine, report and advise as required. TRRA Inc email addresses will be allocated to appropriate committee members to fulfil their role.

The following administrative roles are carried out by the executive committee members to ensure the smooth administration and functionality of the Association. All roles are supported and assisted by President and Vice President and are flexible and interchangeable. Broadly:

  • President and Vice President, Government and PSC liaison, TRRA planning and policy. Spokespersons for all TRRA related matters. Report preparation and co-ordination.
  • Secretary:. Maintenance of membership records, minutes, correspondence and liaison between the committee, council, councillors and members. Organisation of meetings, venues and
  • Membership Secretary – Assistance to Secretary and Treasurer with maintaining membership records and membership subscription renewals. Assists Secretary and acts in position in absence of Secretary.
  • Treasurer – Maintenance of all Association and member financial records, collection and receipt of all Association funds, payment of accounts, monthly reporting.
  • Public Officer: Ensures compliance with rules of Incorporation
  • Media Officer- Preparation of media releases and publicity
  • Control and maintenance of website.
  • Strategy Officer Developing strategies for the organisation for consideration of Committee
  • Research & Planning Officers. Monitor PSC and state government policies/strategies/developments and recommending TRRA consideration/action. Instigate and monitor member and community survey
